Sharing, personalising and standardising your Easy Read

Recently, we've been introducing Photosymbols' new modes for writing, designing and organising your Easy Read.

Let’s look at a few options in Design mode and Organise mode that make team working in Photosymbols easier, and allow you to personalise your Easy Read using your own images and custom made templates.

Share Documents with Your Team

We’ve just made collaboration easier, by adding the ability to share Design Mode documents with the rest of your team.

  • Go to Organise mode and click into the ‘Actions’ menu next to any of the documents you have created and then click ‘Settings’ to toggle whether the document is available to your team and whether it can be used as a template.

    • If you share your document without making it a template, your team will be able to view and download the document, without making any changes, or they can choose to make a copy of the document and carry on editing from there.

    Choosing to share a document as a template with your team is a great option for making document creation quicker and more consistent

    Create and Save Templates

    You may find that you make the same kinds of documents again and again in your role. Once you’ve perfected the format of a document by choosing which pages to include and populating repeated elements such as logos or headings, you can use your work as the basis for a template.

    • Again, find the document in Organise mode, choose ‘Actions’, ‘Settings’ and toggle whether you want your document to be a template.

      • Next time you start creating a document in Design Mode, you’ll have the option to start with one of your custom-made templates. These will appear as Personal templates or Team templates depending on whether you have opted to keep them private or share them as a team resource.

      Have you discovered picture uploads yet?

      In addition to these new tools, there are some handy options to do with images that have been around for a while, but you might not have had the chance to fully explore.

      • Personal Image Uploads: Upload your own images in Organise mode, or directly into Design mode to make your documents more personal and relevant. These are only visible to you.
      • Team Image Sharing: Your team can benefit from a shared library of images. Upload pictures such as logos or staff photos that can be accessed and used by everyone, keeping your projects consistent and ensuring everyone has access to the same resources.
